ADMINISTRATION SERVICES OFFICER

WOW what a brilliant opportunity for an experienced office administrator to join a team making a difference to people and communities in Northern Ireland. 

ABOUT THE CLIENT

Our Client provides counselling and befriending support to individuals who are experiencing or have experienced suicidal thoughts or mental unwellness and also provides support to families and friends who have been touched by suicide.

Life saving services provide direct support to individuals who are in need offering a free, confidential counselling service, with no restriction on the number of sessions provided. We also offer a crises walk in service in Belfast and a crisis telephone service at other locations during our opening hours.

As this Client undergoes restructuring and staff changes they require a full time temporary experienced Administrator to support during an initial 3 month period, with potential extension.  This post will based at their North Belfast Head Office.  

The hours of work will largely cover Monday to Friday 0900 – 1700.  Due to Clinical Need you may also be required to cover evening clinical sessions up until 2100 during the week and ad hoc weekend requirements until 1800.  If this is required you will be compensated with time in lieu.   Due to the project based nature of the role we cannot accommodate extended holiday requirements during the initial contract period.

Salary will be an hourly rate £11.60 - £12.90ph dependent on experience.

 

JOB SUMMARY

 

The post holder will work across the Corporate Business team and Clinical Lead with the responsibility of ensuring the efficient and effective delivery of the administrative function within the team.  You will be responsible for the design and roll out of updated policies and procedures to ensure the efficient running of new clinics and services as the Client undergoes structural review.

 

KEY DUTIES AND RESPONSIBILITIES

  • Responsible for the day to day management of the administrative function of the local office and the provision of support across three key work areas.
  • To establish and maintain effective communication systems within the Team, and other directorates both internal and external to the Client
  • To develop, organise, manage and maintain secure filing systems both manually and electronically in line with Good Management/Good Records guidelines and office standards, including GDPR regulations.
  • Support the Corporate Business Lead in monitoring facilities management of the property, including electronic Reservation system and Multi-Functional Devices.
  • To undertake typing and word processing duties as required, including transcribing minutes, reports and letters.   This will include Clinical and sensitive material.
  • To ensure appropriate files and information are available for Senior Managers for meetings and appointments and operate an efficient bring forward system
  • Act as point of contact between service users, carers, staff and external agencies to ensure a full and efficient service.
  • Make and receive telephone calls and take appropriate action in line with ASSIST and Safetalk* training will be provided.

 

CRITERIA:

5 GCSEs English & Maths (Grades A-C) or equivalent

AND

18 months Administrative/Clerical experience

OR

3 years Administrative/Clerical experience

You will be required to demonstrate:

2 years experience of Word processing (report writing, spreadsheet maintenance etc.)3.Have an excellent working knowledge of Microsoft PowerPoint, Word, Access & Excel

AND

Have full driving licence and access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by The Organisation which will permit them to carry out the duties of the post.

 

Due to Safeguarding Policy of the Organisation you be required to complete an Enhanced Access NI check prior to commencing role.
